What a definition is not
A definition is SPEQ’s plain-language decode of how a term is used in practice, cited to the documents that define it. It is a practitioner reference, not legal or regulatory advice, it does not replace the definition in the source, and where a regulator’s wording differs the regulator’s wording governs.
A computerized system in which an electronic record is combined with a parallel paper process — for example, a printed chromatogram signed by hand, or an instrument printout pasted into a paper logbook — and the organisation must define, in advance, which of the two is the official record and how it is controlled so the two cannot diverge.
Hybrid systems arise wherever a computerized system produces an electronic record but the organisation’s current signature or review process is still paper-based — commonly because electronic signature capability has not yet been validated, or because a paper batch record still needs a wet-ink release signature referencing an electronic result.
Hybrid operation is not prohibited, but it is a recognised data integrity risk area, because it creates two versions of the same fact that must be reconciled, and because it is tempting to treat the paper printout as “the record” while leaving the underlying electronic data — with its own audit trail and metadata — unreviewed.
Where a hybrid approach is used, the organisation must define in its procedures which record is authoritative, ensure the electronic data (including its audit trail) is still reviewed even though a paper copy exists, and have a documented plan and timeline to move to a validated electronic signature process rather than treating hybrid operation as a permanent state.
